A 20-minute weekly planning system that sticks

Most planning systems fail for one reason: they cost more time than they save. This weekly planning system takes 20 minutes, once a week, with any notes app or a piece of paper. Here it is, start to finish.

Why weekly beats daily

Daily planning happens at the worst possible time: the morning, when the inbox is already shouting. You make rushed choices, and the loudest task wins - not the most important one.

Weekly planning happens once, when things are calm. You decide what matters before the chaos starts, and the rest of the week runs on that decision.

The common way

Plan every morning. React all day. Feel busy but somehow always behind.

Decide once a week. Adjust for two minutes each morning. Feel calm and ahead.

The 20-minute session

Do this Sunday evening or first thing Monday. Set a timer - the limit is part of the system.

  1. Empty your head (5 minutes). Write down everything floating around: tasks, ideas, worries, half-promises. Don't organize anything yet. Just get it out.
  2. Pick three wins (5 minutes). Ask one question: "If only three things get done this week, which three make the biggest difference?" Circle them.
  3. Give each win a time slot (5 minutes). Put all three in your calendar. A task without a time slot is a wish.
  4. Set up your daily lists (5 minutes). Each morning: List A holds up to three things that must happen today. List B holds everything else. Don't open B until A is done.

The whole system on one card

  1. Sunday: brain dump, pick 3 wins, give each a calendar slot.
  2. Every morning: List A (max 3 must-dos), List B (everything else).
  3. Friday: 2-minute review - what moved, what rolls to next week.

How to make it stick

  • Attach it to a trigger. Same day, same time, same cup of tea. Habits hold on to anchors.
  • Keep it under 20 minutes. A system you resent is a system you quit.
  • Missed a week? Start the next one. No streaks, no guilt. The system bends so it doesn't break.

What app should I use?

Whichever one you already open every day. Notion, Apple Notes, paper - the system matters more than the tool.

What if my week blows up on Tuesday?

Re-run step 2 in five minutes: pick three new wins for the rest of the week. Adjusting is part of the system, not a failure of it.

How is this different from a to-do list?

A to-do list collects tasks. This decides which three matter and gives them calendar time. Collecting is easy - deciding is the work.
